For accountants and bookkeepers

Know which document is still missing before you ask again.

“Documents pending” is rarely enough context. Keep the specific request and its latest update visible while files remain in your approved secure channel.

Make the outstanding request precise

A client may have sent most of the required records. Replace a vague mental note with a focused Follow-up for the one statement or confirmation still outstanding.

Use a recognizable Person and a short title. Keep account numbers, actual documents and unnecessary financial detail out of example content and in the appropriate secure systems.

Treat a partial response as progress, not completion

When one part of a request arrives, post an update and check what remains. Mark a focused request Done only when its stated outcome is complete.

If you need to review what arrived or ask a clarification, make the next action explicit. The client may owe you a document while you owe them an answer; those are different Follow-ups.

Choose a follow-up checkpoint with care

Use a Target date to decide when to review or follow up on the request. A Reminder is optional and separate. Check the existing secure channel before asking the client to send something again.

SaathKaam is not a filing-deadline compliance system and does not guarantee time-critical notification delivery. Keep statutory deadlines and professional controls in the systems appropriate to that responsibility.

Tracking a request is not storing a document

The document is requested, sent and stored through the tools you already use. SaathKaam does not provide a client upload portal, accounting ledger or automatic document-chasing service.

Its role is to help you return to the next useful question with the person, request and history together.

Try the model

Receive the missing bank statement

Priya has sent most records for a bookkeeping review, but one bank statement is outstanding. You already use an approved secure channel for the files.

Conceptual example for Priya: Receive the missing bank statement; Waiting on them; follow up, record the result, then resolve the specific request.
Conceptual explainer using the synthetic example below—not an app screenshot.
Who
Priya
Follow-up
Receive the missing bank statement
Whose turn
Waiting on them
Planned next action
Ask for the specific missing statement through that existing secure channel.
Target date / Reminder
Agree a document checkpoint with Priya. A Target date is not a statutory filing deadline guarantee.
What changes in the Timeline
Post an update about what was received without copying financial details into the public example. Record the outcome when the missing statement arrives.
What Done means
The requested statement is available for review in the agreed external location.

Choose one unfinished interaction.

Think of someone you are waiting for—or a promise you still need to keep. Add that Person and one clear Follow-up. Leave optional details until they are useful.
